Privacy at Etxhe
Etxhe helps real estate agents keep their clients informed. Agents decide what appears on each client page; clients see only what their agent publishes. This notice explains what we store, why, and the choices you have.
What we store
- Agent accounts: name, email, a securely hashed password, and brand details such as logo, photo, color and contact information.
- Client pages: what agents publish (stages, tasks, appointments, updates and resources), private notes and drafts that only the agent can see, and what clients add, such as answers, chosen times, comments and questions.
- Access and activity: the invited client’s email, when links were sent and used, and a record of changes, so agents can see what happened on each page.
- Emails: a copy of each invitation and notice we send, with its delivery status.
- Sample workspace visitors: the email you enter to open the sample workspace is kept so the Etxhe team can follow up with you, and is never shared with agents.
How client access works
Clients open their page with a private link sent to the email their agent invited. Links expire after seven days and sessions end after a day without use. We store only a scrambled fingerprint of each link. An agent can end access at any time.
AI drafting and Ask Etxhe
When an agent asks Etxhe to shape a note into an update, the note and basic journey context are sent to our AI provider to create a draft. When an agent asks Etxhe to plan changes, their request and a summary of their client pages (names, stages, open tasks, appointments and unanswered questions, but never private notes or drafts) are sent the same way. Nothing is published or sent until the agent reviews and approves it. Client pages are never used to draft for other agents.
Page covers
Agents can upload a photo of a home as a client page cover. The photo is resized and redrawn in the agent’s browser before upload, which removes camera details such as where it was taken. If an agent asks for an AI illustration, the framed photo is sent to OpenAI to draw it; the drawing comes back to the agent to approve or discard, and nothing is stored or shown to a client unless they approve and publish it.
Connected accounts
If an agent connects Microsoft Outlook, Etxhe uses that connection only for the features the agent turns on: adding client appointments to their calendar, reading free and busy times, sending client emails from their address, and opening a specific email the agent chooses to turn into an update. Access tokens are stored encrypted, and disconnecting removes them.
Cookies
We use only the cookies needed to keep you signed in, and one that remembers you already opened the sample workspace. We don’t use advertising or cross-site tracking cookies.
Who we share data with
Service providers that run Etxhe for us: hosting and storage, email delivery, and AI drafting. They process data only to provide those services. We don’t sell personal information.
Your choices
Clients can turn off update emails from their page and can ask their agent to correct or remove information. Agents can edit, archive or revoke access to any page. In Settings, agents can download a copy of all their data, and delete their account and everything in it themselves. An archived page can also be deleted for good; deleting a page ends the client’s access to it at once.
